Page/Content
This admin screen is your interface for editing the content that is displayed on your site. There are two page types. "PreDefined
Templates" and "Custom". Predefined Templates are created when you sign up, and are permanent on your site. You can edit the
content on them at will, but can not delete them. If you select "New WebPage" you will be taken to a screen that allows you to
enter information for the new page you want to create. Filing in all fields is highly recommended, although if you want to fill
in a field or two now and come back later, that is possible. Once you have the information filled in, click on the disk icon to
save it. You will get a message that indicates your new wapgae was saved successfully, and you should now see your new page
listed in the grid. You can select the magnifying glass icon at the right side of the grid to view the details of a specific
page. Once clicked, you will see a new window appear in your browser that contains details about your page. From here you can
click on the paper & pencil icon to edit the page, or click on the X button to delete the page. To close the details screen,
simply click the X at the top right side of the details window.
Linking to Your Pages
Some of the templates available on PhooDoo do not include links for all of the pages that exist in the admin screen. For this
reason, you are shown the direct link on each page inside the grid of teh webpages admin screen. Simmply highlight this address,
and copy and paste it in a link wherever you like. You can place links anywhere you like in the content of other pages.
Photo Sessions
The "Photo Sessions" screen will let you add information and photos regarding a specific shoot, to your website. When you are
done adding a session you will have a link available that you can send yoru client for browsing their proofs. To add a new photo
session:
- Click the "Add New Photo Session" button
- If you have not added the subject of the photo shoot as a Client into PhooDoo, it is suggested you do so now. Fill in as much
information as possible regarding yoru client and click "Submit" to save them to yoru client list. You will notice that after
that's be done, the client is selected in the dropdown list. This is what we want.
- Fill in Session Title. This should be short and descriptive.
- If you or your client would like people to have to enter a password to view this session, enter that password on this
page.
- You can put anything you would like shown with the session in the main body. This will show up on the page that the session
thubnails are shown.
- Click the little down arrow next to the "Date Session was Taken" textbox. Select a date, and click "Save Session & Add
Photos".
At this point you are taken to a Session Photo Management page. If you don't have photos ready yet, you can click "Done/Upload
Later!" and come back at another time to add photos. If you have photos to upload, you can upload them here. If you would like
for the site to resize the pictures you upload, automatically, check the "Resize my image for me" checkbox near the top of the
page. WHen you have the photos selected that you would like to upload, click on "Upload selected Photos!". You will be given a
status message that the photos hae been uploaded successfully.
Once this is done, you can click on your "Photo Sessions" menu option. You will now see your new photo session in the grid view
of the page. If you click on the Pencil & Paper icon, you will be taken to an edit/details screen that allows you to edit all
aspects of the session, as well as manage photos. At the top of this page is where you get an address for this session that you
would send your client. Copy and paste this address into an email to give them a direct link to their proofs, once you are ready.
If you click on "Manage Photos" within the Session management screen, you will be taken to a screen that will show photos you
have uploaded for the session in context, and allow you to delete them. You can also add more by clicking "Add New Photos" at the
top of the screen. Clicking on the thumbnail picture in the image row will take you to a details screen where you can see details
about the photo, as well as photo metadata. Clicking the Pencil & Paper icon will take you into edit mode where you can edit
certain aspects of the photo. There are a couple of things to note here.
- Session Order - This detrmines in what order this particular image will show up in, within the sessions view.
- Session/Gallery Preview Image - Selecting this option on an image means that this image's thumbnail will be used as the
thumbnail for the gallery link on the Gallery portion of your main website. You can only have one Session/Gallery Preview Image
per session/gallery.
Click the disk icon to save any changes that were made.
Galleries
This admin screen will allow you to add portfolio-type galleries to your website for visitors to see. To use it, click on the
menu option for "Galleries" and then click on the "Add New Gallery" button. Filling in all fields is highly recommended. The
"Title" is required though, as well as "Template". "Template" determines what style the particular gallery will have when it is
viewed on your website by others. Once you select and option, a small preview of the style will show up so that you can better
make your styling decision. You can come back and change this option any time. "Publically Viewable" is exactly what it sounds
like. If you have an album without this checked, it will not show up in the "Gallery" section of your main website.
Once you have filled in your options, click the disk icon to save the gallery. Once you have done this, you are talen back to the
grid view of your galleries. To add photos to your new gallery, click on the Pencil and Paper icon in the row of the gallery you
want to edit. You are taken you a screen that looks just like the add gallery screen, but the information for the selected
gallery is loaded and there is a new button below the details, called "Manage Gallery Photos".
To add photos, click the "Manage Gallery Photos" button. Anytime you would like to add photos to yoru gallery, or delete existing ones you can upload them here.
If you would like for the site to resize the pictures you upload, automatically, check the "Resize my image for me" checkbox near
the top of the page. When you have the photos selected that you would like to upload, click on "Upload selected Photos!". You
will be given a status message that the photos hae been uploaded successfully. You can click "Edit Photos" to get back to the
Photo Edit screen of the Gallery. Clicking on the thumbnail picture in the image row will take you to a details screen where you
can see details about the photo, as well as photo metadata. Clicking the Pencil & Paper icon will take you into edit mode where
you can edit certain aspects of the photo.
Once this is done, you can click on your "Galleries" menu option. You will see your new gallery listed.
Clients
The clients admin screen is one you should visit when a customer has come in for a shoot for the first time, or when someone
doesn't already exist in this screen. It's important because it allows you to tie photo sessions and appointments to a particular
customer, and will enhance the your PhooDoo site administrative experience.
To Add a new client, click the "Add Client" button at the top of the screen. Most of the options here are fairly straight
forward, with the exception of "Session List Password". When you put a session list password in, the user is required to enter it
before they can see the list of the sessions that belong to them. This adds another level of security on top of the session
password.
Print Ordering
Orders
The orders screen shows print orders that have been placed via the customer's online photo session proofs on your site. Once an
order has been placed, it will show up in a gridlike view containing information about the order itself. Fields include:
- Name - Name of the person that made the order
- Client Association - Client you have tied this order to (Whose proofs are these?)
- Date - Date the order was taken
- Coupon Used - What particular coupon was used with the order, if any
- Status - An editable field to help you keep track of where different orders are in the editing and printing process
- Total - The total original amount of the order
- Billing For - An editable amount that is calculated based on coupon discounts, if one was provided.
To edit the coupon, client association, status, or billing for values, click on the paper clip icon in the row. Make whatever
changes are necessary and click the disk icon in the same row to save your new values.
To view details of the order, click on the magnifying glass in the row of the order you woudld like to examine. You will se a
details box pop up with orderer information as well as the individual photo line-items. Here you can see what photos, sizes,
quantities, and other item notes were placed in the order. Although it is not recommended, you can edit the line items by
clicking the paperclip icon. Once changes are made, click the disk icon to save them.
Photo Sizes
This is a fairly straight forward page. It is used to add orderable photo print sizes. 5x7's, 8x10's, etc. All numbers are in
inches. If you have a minimum amount you have to order from your print supplier, you can add that minimum amount to the size it
pertains to in this screen.
When sizes are added in this screen, they show up in the sessio nproofing screen of your client as an option to order for each
photo.
Coupons
This screen allows you to add "Coupon Codes" and their discount rates. These codes are used when a customer places a print order
from browsing proofs, and goes to the checkout screen. If you've let the customer know about a coupon and given them the code,
they can plug it in and it will be refelected in the final price of the order. The prices page in the Pages/Content area is one
page you might put list active coupons.
Appointments
This page allows you to track appointments. Appointments may be added here, by you, or from YourSiteName.com/Appointment.aspx by
the a person browsing yoru site. Once scheduled, it will show up in this page.
To Schedule a new appointment, click on the date text of teh day you would like to schedule it for. The only required field is
client name, but it's recommended you will in as much information as possible. Most fields on this page are self-explanatory. The
"Client Association" is in case a client you already have schedules another appointment with you. PhooDoo doesn't have a way to
automatically tie this anonymous person from the website into your client database, so this is how we let you take control of
that. Session Association is for after your shoot. After the shoot has been done and the session proofs created, you can go back
to the appointment and select the session from the dropdown to tie the two together. This is good for browsing back at what you
shot and when. Approved is a marker that indicates whethere you ahve approved the appointment or not. This is defaulted to true
if you have scheduled the appointment yourself through the admin screen, and false if it is scheduled by a user from your
website.
On this calendar, sessions will show up in black, and orders will show up in green. When you click on either of them you are
taken to details screens. From the appointment detail screen you can view all aspects of the appointment, and use the pencil and
paper icon to edit most of it. If you check the "Email updated scheduling info to client after save" at the top of the page, the
appointment email will be notified of the date and time of the appointment, as well as approvial status.
